Parkstone will use Arkivum’s A-Stor solution to archive vital documents from its construction, aggregates and environmental companies. The business critical documents to be archived will include plans, timesheet, invoices and health & safety forms. Utilising technology and open standards, A-Stor provides a cost-effective archiving service which sits as a single file system on the customer’s network, delivering fast and efficient online access and retrieval of data.
"A-Stor is connected to our document management system enabling us to free-up space on our data servers by storing archived files linked to a single client/project," says Richard Avery, IT manager at Parkstone Group. "Documents that are rarely accessed or are more than 6 years old can be easily moved from our data server over to the new A-Stor location. Archived documents can then be seamlessly accessed from within the document management (DM) system, in the same way current documents are. Each month, we run a utility that goes through all the projects to archive marked documents, moving them to the A-Stor location, and updating the documents locations in the DM database.
"In addition, moving such files to the archive means that our operating costs are reduced as we won’t be keeping rarely-accessed data on costly, high-speed servers."
"We are delighted that Parkstone Group has chosen Arkivum for the safe storage of its data," says Jim Cook, Arkivum CEO. "Our cost-effective, long-term storage, with its 100% data integrity guarantee is ideal for the construction industry as it ensures vital documents such as invoices, plans, quotes, tax and insurance documents are safe and secure, yet can be accessed very quickly."
