eGistics Unveils CloudDocs

Cloud-based e-document storage management solution

eGistics, Inc. unveiled CloudDocs, a cloud-based e-document storage management solution for businesses of any size, in any vertical market.

CloudDocs is designed to manage structured, electronic documents for departmental and enterprise business processes, such as accounts payable, branch management, loan origination, and more. And, unlike generic storage solutions, CloudDocs eliminates the burden of determining where to store documents – in terms of files and folders. CloudDocs provides nearly instantaneous retrieval of documents in order to help staff perform their jobs.

CloudDocs includes tools designed to make capturing, storing, managing, securing and finding business documents, no matter how long they need to be retained.

These capabilities include:

  • scan-to-web;
  • bar code recognition;
  • data integration with legacy systems;
  • document search functionality;
  • the ability to view retrieved documents individually or as part of a group;
  • digital annotation capabilities for capturing important information about a document or key actions taken; and
  • flexible document export functionality.

CloudDocs also is secure. It provides administrative functions for managing group and user security and privileges, and it is SAS 70 and PCI-certified and HIPAA compliant.

"CloudDocs makes it easy for businesses to capture and index documents," said eGistics Senior Vice President of Product Management Amer Khan. "For instance, CloudDocs can recognize bar codes, which many businesses use to organize packets of documents. Documents can even be loaded into CloudDocs and indexed later. And once documents are loaded into CloudDocs, users don’t have to worry about where they are located; with a simple command, CloudDocs retrieves them instantly."

J.D. Byrider, an used car and finance franchise company, is deploying CloudDocs for its enterprise document storage. J.D. Byrider initially will use CloudDocs to scan and manage contracts received at its 13 company-owned locations, and to archive human resources documents now stored at its corporate headquarters. Authorized users will be able to search and retrieve archived documents with rapid retrieval via a high-speed Internet connection. J.D. Byrider’s more than 110 additional franchise locations also will be able to license CloudDocs to store contracts and other documents.

CloudDocs is replacing J.D. Byrider’s on-premise legacy document management system. In addition to lowering J.D. Byrider’s costs to store documents, CloudDocs will streamline contract processing by enabling J.D. Byrider’s company-owned locations to scan contracts at the point of presentment, facilitating collaboration among staff, and speeding access to archived documents. CloudDocs will integrate with the J.D. Byrider Discover System in order to automate document indexing and speed the document load process. J.D. Byrider also expects CloudDocs to help improve its compliance and information security measures.

CloudDocs will be available in May.
