Palm Beach County Clerk & Comptroller Protects Emails With Mimosa

Using NearPoint Unified Archive

Mimosa Systems, Inc. announced that the Palm Beach County Clerk & Comptroller’s Office, the third largest clerk’s office in Florida, has selected the Mimosa NearPoint archiving product for the protection and recovery of vital email data. The system ensures compliance with Florida’s Sunshine Law that mandates all municipalities and government agencies retain and provide access to public records including email. In addition, Mimosa NearPoint provides the clerk’s office with eDiscovery capabilities to enable proactive collection, preservation, review and production of electronic documents to comply with a discovery request.

The Clerk & Comptroller’s office serves a population of nearly 1.3 million citizens from six locations throughout Palm Beach County. As an independently elected constitutional officer, Clerk Sharon Bock protects the interests of citizens while serving as Clerk of the Circuit Court; the county’s Chief Financial Officer, Auditor and Treasurer; Clerk of the Board of County Commissioners, and County Recorder. The office performs nearly 1,000 different constitutional and statutory functions or duties–many of which rely on email communications to be effectively and efficiently executed.

With a mission to protect, preserve and maintain the public records and public funds with integrity and accountability, the Clerk & Comptroller’s Office takes the protection of its data very seriously. To deliver email services across all locations, the office uses Microsoft Exchange 2007 running on Dell servers. It turned to Mimosa to meet eDiscovery needs, reduce the office’s risk of data loss, improve its archiving capacity and increase its ability to recover messages during a disaster recovery event, such as a hurricane.

At the Clerk & Comptroller’s office, we are always looking for ways to increase efficiencies and improve processes and systems,” said Clerk Bock.  “Mimosa offers email recovery and other features at a value.”

Key factors in the selection of Mimosa NearPoint
and the NearPoint eDiscovery application include:

  • Efficient and Comprehensive eDiscovery: Mimosa NearPoint expedites the eDiscovery process for the Palm Beach County Clerk & Comptroller’s Office by enabling complete content capture. With key features including individual item-level legal holds, conversation and proximity analysis, and an intuitive search within a search—while demonstrating chain of custody as archived content moves through the eDiscovery workflow – the clerk’s office can lower eDiscovery costs while remaining compliant with its state electronic discovery requirements.
  • Continuous Protection and Rapid Recovery: Mimosa NearPoint performs continuous data protection for Exchange data and supports rapid recovery of Exchange at all levels, including automated disaster recovery, full database recovery, mailbox recovery, and individual message restores.
  • NearPoint Deployment Advantage: With the NearPoint Deployment Advantage, Mimosa NearPoint has zero footprint on the clerk’s production Exchange server or desktops because it does not require any agents or client software to perform advanced searches or archive access.
  • Flexible Pay-As-You-Go Pricing Model: Mimosa NearPoint features a flexible per-seat licensing model that is based on the number of employees in the clerk’s office, giving the organization greater budget control and flexibility without signing up for pricy thresholds.

Mimosa is the fastest growing archiving company addressing the needs of customers across all market segments and industries – with rapid adoption in the state and local government sector,” said T.M. Ravi, CEO, Mimosa Systems. “Mimosa is helping its customers address immediate priorities of reduction in production storage and eDiscovery costs for growing email, file and SharePoint content.”
